Secondary Analysis and Data Usage Reports

Please conduct your secondary analysis with the provided dataset(s).

Please notify SSJDA if you have any questions or problems regarding the provided data. Please also refer to the FAQ from Users for additional information.

Citations and Acknowledgments

In any publications (including book chapters, journal articles, or conference presentations) that use SSJDA datasets, you are required to cite both the name of the depositing institution along with the citation "Social Science Japan Data Archive, Center for Social Research and Data Archives, Institute of Social Science, The University of Tokyo". This is one of the conditions listed in the Usage Agreement (Pledge), and we ask for your understanding and cooperation. The full text of the Agreement can be found in the citation format described in the Agreement, Section 3.

Details regarding how to acknowledge the data source can be also found in the "Readme" file sent along with the data. Please also refer to the following example.

Example: The data for this secondary analysis, "name of the survey and the name of depositor", was provided by the Social Science Japan Data Archive, Center for Social Research and Data Archives, Institute of Social Science, The University of Tokyo.

Data Usage Reports (For Datasets with a Limited Period of Use)

You will receive an e-mail from SSJDA one month before the permitted period of use for the dataset(s) will expire.

Data Usage Reports are required for confirming what kind of research results have resulted from analysis of SSJDA data and for confirming that data has been properly deleted after the expiration of the period of use. To submit a Usage Report, please login to SSJDA Direct and select "Usage Report" for the appropriate application on the My Page screen. Regardless of whether or not the data was actually analyzed or whether or not the data was used in a publication, all users are required to submit a Usage Report.

If you do not submit a Usage Report, a reminder e-mail will be sent by SSJDA. If you do not submit a Usage Report six months after the expiration of the period of use, your permission to use SSJDA data may be suspended, so we ask that you submit Usage Reports promptly.

Applying for Extensions of the Data Use Period (For Datasets with a Limited Period of Use)

If the period of use for the data expires before you have completed your secondary analysis, you may apply for an extension. In such cases, please submit a Usage Report through SSJDA Direct before the original period of use expires. When filling out the Usage Report, select "I will apply for an extension of the data use period".

When applying for an extension, your application will undergo the same review and approval process as with a new application. Data will not be resent, so please continue to use the original data that was provided.

Data Output Reports

Registering Output Reports refers to registering the title, name of journal, publication date, and other information regarding any publication that has made use of SSJDA data. Whether your dataset(s) has limited period of use or not, you are required to register a Data Output Report each time you have produced any publications using analyses of datasets provided by SSJDA.

Here, "publication" refers to any conference presentation, essay, report, bulletin, book, and similar documents or presentations. To register an Output Report, login to SSJDA Direct and select "Output Report" for the appropriate application on the My Page screen.

Submitting Research Output (Publications, etc.)

After registering a Data Output Report, please send the appropriate publications to the SSJ Data Archive via postal mail.

A copy of each publication will be sent to the depositing institution(s) originally responsible for providing the data, and one copy will be kept by the SSJ Data Archive. The title, author, and other information regarding the publication will be included in the List of Publications Using SSJDA Data on the SSJDA website.


When submitting publications, please clearly indicate the section(s) where the citation(s) from SSJDA data are noted with a sticky note or other physical marker. This is necessary for the depositing institution(s) and SSJDA to confirm the citation. (Note: Citations should follow the citation format described in the Agreement, Section 3.)

A minimum of 2 copies is required. Depending on the number of datasets used, you may be required to submit three or more copies. Please refer to the following example to determine the number of copies you are required to submit based on the number of depositing institutions who have provided the datasets.
